Shipping / Receiving Supervisor

The Shipping/Receiving Supervisor will manage the daily operations of the receiving/shipping department and to provide administrative support the completion of proper shipping documentation. This position will supervise and coordinate the activities for tracking all incoming and outgoing shipments and verify all bill of ladings, invoices, and sales orders are correctly received or shipped. Establish work assignments to meet the required sales order ship date.

Shipping / Receiving Supervisor

  • Oversee all outgoing shipping activities (Sales Orders) to ensure accuracy, completeness, and condition of shipment. Verify the accuracy of the required shipping documents. Verify pictures of each shipment is taken and downloaded to the proper file. Responsible for printing out all sales orders to verify part number, quantity to ship, and paint specification.
  • Responsible for obtaining freight charges for all shipments. Obtain multiple quotes to verify most cost-effective shipping method.
  • Schedule trucks daily to minimize the amount of daily backlog for truck loading.
  • Verify incoming material complies with packing slip and route material to appropriate department or individual. Inspect material for damage. If damage exists the supervisor will initiate a damage report with the carrier and supplier.
  • Monitor Sales Orders on Time Delivery and report weekly sales order line items that are short and may cause an order to ship late.
  • Supply the accounting department daily with all documents for received items and orders that shipped.
  • Establish daily work assignments for shipping/receiving staff.
  • All receiving and shipping inventory transactions and documents will be performed through an MRP system.
  • Perform Inventory Management related functions such as slow-moving inventory, obsolete inventory, inventory turns reduction, conduct daily cycle counts, and perform yearly physical inventory.
  • Verify the government’s WAWF invoice is fill out and approved prior to shipping sales order.
  • Complete ITAR license for international shipments. Work with government agencies to apply for shipping license.
  • Establish yearly KPIs for the shipping/receiving department.
  • Implement and perform weekly 5S audits of the shipping/receiving department.
  • Comply with the company’s policies and procedures. This also relates to the company’s ISO 9001 requirements and health and safety policies.
  • At times may be required to fill in and operate a tow motor for loading and unloading of trucks or help in packing sales orders.
  • Coach and train staff as required to verify each position has a back-up and to verify each staff member is meeting the daily efficiency.
  • Purchase and control inventory of shipping materials.
  • Other duties as assigned by your supervisor.



  • Minimum 5 to 10 years of experience in a manufacturing environment working in the shipping/receiving department.
  • Experience shipping product per Military Specifications (WAWF or Wide Area Workflow).
  • Minimum 3 to 5 years of experience supervising a shipping/receiving department.
  • Minimum 3 to 5 years of experience with ITAR licensing.
  • Proficiency in MS Word, Excel, and Outlook.
  • Proficiency operating an ERP system. MAS 500 experience would be very helpful.
  • Ability to handle instructions and pre-established guidelines to perform the functions of the position.
  • Professional verbal communication is required.
  • Ability to work effectively both independently and as a team member.
  • Able to read and interrupt engineering drawings.
  • Experience with UPS and FED-EX shipping software.
  • US citizen is a must.
